How to choose an IT support provider

A support contract is only as good as what is written in it. Check these six points before you sign.

  1. A device list first.The contract names the PCs, printers, servers and network devices it covers.
  2. Times in writing.Response and resolution times for urgent and normal problems.
  3. A named engineer.Someone who knows your setup, with a named backup when they are away.
  4. Parts and warranty claims.Whether parts are included, and who deals with the manufacturer under warranty.
  5. Documentation handed over.Passwords, network diagram and licence list kept up to date, in your name.
  6. A monthly report.Tickets opened and closed, time spent, and what should be replaced soon.

AMC or managed service?

An annual maintenance contract usually means fixing problems when you report them, plus some preventive visits. A managed service goes further: the provider monitors your systems, applies updates and reports to you, so many problems are caught early.

Prevention

Preventive visits pay back

Cleaning, updates, backup checks and replacing ageing disks before they fail save far more time than emergency call-outs. Ask what a preventive visit actually includes.

What does an annual maintenance contract usually include?

Usually a helpdesk, repairs for listed devices and some preventive visits. Parts, new installations and after-hours work are often extra, so check each quote line by line.

Can support be fully remote?

Many user problems can be solved remotely. Hardware faults, cabling and printers still need a visit, so ask how on-site work is handled even in a remote contract.

We already have one IT person. Is this still useful?
